Forms and payment must be received by Friday 19th June 2020 – YOU CANNOT PAY ON THE DAY. No exceptions will be made. Pitch numbers will be sent out by email, approximately 4 weeks before the event. Please provide a SAE if you are unable to receive by email.REGULATIONS FOR EXHIBITORS1. The event organisers are Hextable Parish Council and Hextable Hub for Residents.2. Vehicles are accepted into the park and event on condition that the organisers cannot be held responsible for exhibitors’ negligence which may cause damage or injury to vehicles, persons or property. Similarly, the event organisers cannot be held responsible for loss or theft of vehicles, contents or equipment.3. It is the responsibility of exhibitors to ensure that vehicles being driven into the event are in a roadworthy condition and have, as a minimum, third party insurance cover. Road Traffic Act rules apply on site.4. Vehicles entering and leaving the event are restricted to a maximum of 5mph, and a banksman MUST be used whenever it is necessary for vehicles to reverse. No unauthorised movement of vehicles is allowed during the event until after 4.30pm5. In the event that a vehicle needs to leave the event before 4.30pm, an event marshal MUST be notified prior to any movement. They will then be escorted from the event in a safe manner. Please note that this will normally only be authorised in the case of emergency.6. Engines must remain switched off for the duration of the event.7. Dogs are allowed on the site but must be kept on a lead at all times. Pets are the direct responsibility of their owners / handlers. No animals are to be left in vehicles, otherwise event organisers will remove them.8. The riding of motorcycles, quad bikes, etc on the showground is strictly forbidden at any time, except when accompanied by an event marshal.9. All exhibitors are responsible for leaving their pitch tidy and litter-free. Please utilise the skip that will be on site.10. The event organisers and marshals reserve the right to remove anyone from the event who is disruptive or is deemed to have contravened the regulations. This could result in a ban for the individual / club / organisation from future events.PRIVACY POLICY:Your data will only be retained by the event organisers to enable them to contact you regarding the event and will not be shared with any third parties.
